People Operations Associate
About the Role
We are seeking a People Operations Associate to support the employee journey from onboarding through offboarding, helping keep Dialectica running smoothly day to day. You will support payroll operations and benefits administration - helping ensure every employee has an accurate, well-supported experience from day one.
Key Responsibilities
People Operations Excellence:
- Seamless Employee Lifecycle: Manage end-to-end onboarding and offboarding, ensuring new hires are fully set up with payroll, benefits, and gear from day one.
- Process Re-engineering: Evaluate and iterate on core operational frameworks to eliminate friction points, transforming routine administrative tasks into scalable, user-centric employee experiences.
- Systems & Scaling: Maintain and improve our HR tool (Hibob) by automating manual tasks and simplifying processes to keep things running smoothly as the team grows.
Payroll & Compensation Management:
- Payroll Cycle Support: Support the monthly payroll cycle in partnership with external payroll providers, gathering and checking inputs to help ensure all employees are paid accurately and on time.
- Vendor Coordination: Serve as the day-to-day point of contact for payroll providers, medical insurance brokers, and other People Operations vendors, following up on open items and escalating issues when needed.
- Compensation Administration: Help process salary changes, bonuses, and other compensation adjustments each cycle, keeping payroll and our HR tool accurate and consistent.
Benefits & Contractual Administration:
- Benefits Support: Handle day-to-day administration of the company's medical insurance plan, meal allowances and other perks, including enrollments, changes, terminations, and employee questions.
- Contractual Administration: Prepare and issue employment contracts and amendments under guidance, and keep documentation accurate, up to date, and compliant with local labor law.
- Compliance Auditing: Maintain impeccable records of all payroll data, employment contracts, and benefits documentation for internal and external audits.
What We Are Looking For
- 2+ years of experience in People Operations, HR Administration, or a similar role, ideally with exposure to payroll, benefits, or employment contracts.
- Foundational Knowledge: Working understanding of payroll processes, medical insurance schemes, and the basics of local labor law as it relates to employment contracts and benefits.
- Numerical Mastery: Highly analytical with the ability to manage payroll data, benefits costs, and budget projections with precision.
- Communication: Fluency in English with the ability to explain payroll, benefits, and contractual matters clearly to non-experts.
- Excellence: High professional standards for confidentiality, customer service, and attention to detail.
