About the Role

We are seeking a Senior People Operations Specialist to own the core People Operations processes that power Dialectica's employee experience, from onboarding through offboarding. You will lead payroll and compensation management across Greece and the UK, partnering closely with external providers, Finance, and Labour authorities to ensure every employee is paid accurately, well-supported, and fully compliant. This is a high-impact role for someone who thrives on building scalable processes and driving operational excellence across all aspects of People Operations. 

Key Responsibilities 

People Operations Excellence:

  • Seamless Employee Lifecycle: Manage end-to-end onboarding and offboarding, ensuring new hires are fully set up with payroll, benefits, and gear from day one.
  • Process Re-engineering: Evaluate and iterate on core operational frameworks to eliminate friction points, transforming routine administrative tasks into scalable, user-centric employee experiences.
  • Systems & Scaling: Maintain and improve our HR tool (Hibob) by automating manual tasks and simplifying processes to keep things running smoothly as the team grows.

Payroll & Compensation Management:

  • Payroll Cycle Ownership: Manage the end-to-end monthly payroll cycle in partnership with external payroll providers, ensuring all employees are paid accurately and on time across all operating regions (Greece & UK).
  • Vendor Management: Own relationships with payroll providers, medical insurance brokers, and other People Operations vendors, ensuring SLAs are met, issues are resolved quickly.
  • Compensation Administration: Process salary changes, bonuses, and other compensation adjustments each cycle, ensuring accuracy and consistency between payroll, HR tool and other interfaces.
  • Cross-functional alignment with Finance : Work closely with Finance to provide accurate payroll data and forecasts, and to support payroll payments, ensuring alignment between People Operations and financial reporting.

Benefits & Contractual Administration:

  • Vendor Management: Own the relationship with our benefits providers, handling enrollments, changes, terminations, to ensure accurate, compliant, and timely delivery for every employee.
  • Contractual Administration: Oversee the full contractual lifecycle: drafting, issuing, and maintaining employment contracts and amendments and act as the company's key liaison with Labour authorities, ensuring full compliance with local laws.

Data, Reporting & Budgeting:

  • Cost Projections: Prepare detailed payroll and benefits cost estimates to assist leadership in budget planning and cost control.
  • People Ops Metrics: Analyze and report on key People Operations KPIs, such as payroll accuracy, benefits utilization, and time-to-resolution for employee queries.
  • Compliance Auditing: Maintain impeccable records of all payroll data, employment contracts, and benefits documentation for internal and external audits.

What We Are Looking For

  • 5+ years of experience in People Operations, with hands-on ownership of payroll, benefits administration, and employment contracts.
  • Expertise: Solid understanding of payroll processes, medical insurance schemes, and local labor law as it relates to employment contracts and benefits.
  • Numerical Mastery: Highly analytical with the ability to manage payroll data, benefits costs, and budget projections with precision.
  • Communication: Fluency in English with the ability to explain payroll, benefits, and contractual matters clearly to non-experts.
  • Excellence: High professional standards for confidentiality, customer service, and attention to detail.
